Join Takeda as an Executive Administrative Assistant. As part of the Business Operations team, you will report to the Director of the team and work within the Neuroscience Therapeutic Area Unit (NS TAU).
How you will contribute:
- Coordinate documents and correspondence, including letters, reports, emails, presentations, memos, faxes, etc.
- Use appropriate tools for required work including Microsoft Outlook, Word, Excel, and PowerPoint to track, document and report data.
- Review documents and proofreads work for grammar and spelling, accuracy, consistency of terms, and completeness; ensure document text and graphics adhere to corporate and organization guidelines and standards.
- Arrange travel for Orexin Franchise/Program/Portfolio Strategy Head and other leaders within department as required; complete expense reports in a timely manner.
- Manage meeting calendar for Orexin Franchise/Program/Portfolio Strategy Head
- Collect, review, enter, and format accurate data into spreadsheets, databases, and other electronic tools.
- Interface and communicate with internal customers; direct people to the appropriate resources.
- Research solutions and responds to email and phone inquiries with direct guidance and review from direct supervisor.
- Prepare documentation for payment of vendors, consultants, and suppliers; after review by direct supervisor, submit documentation and enters requests for payments into accounting system; responds to inquiries from accounts payable and payees.
- Participate in maintenance of improvement processes; implement changes to improvement processes for direct responsibilities with direction from supervisor.
- Develop a strong network within the department; draw on network to answer questions and successfully execute responsibilities.
- Demonstrate confidentiality in execution of all responsibilities.
- Perform other duties as required.
Minimum Requirements/Qualifications:
- High school diploma/GED required. Associates degree preferred.
- Minimum 5 years of relevant work experience, or equivalent combination of training and experience.
- Strong PC literacy with intermediate skills in Microsoft Outlook, Word, Excel or PowerPoint.
- Excellent verbal and written communication skills.
